POSITION SUMMARY The Lease Admin Manager, also known as Property Accountant, is responsible for managing  monthly lease payments and annual lease-related settlements for all Spencer’s and Spirit store locations and ensuring that such payments are in accordance with negotiated lease terms. The position is also responsible for maintaining our 3rd party Lease Admin Software program.     RESPONSIBILITIES

  • Audit and process all monthly rent invoices as well as annual lease year end settlements and miscellaneous increases, ensuring lease compliance.
  • Add all new lease obligations for new stores, relocations, remodels and lease extensions into Virtual Premise based on lease abstracts.  Calculate all fixed annual increases for the term of the lease.
  • Provide exception reporting on monthly variances by store by expense type prior to creating the accounts payable batch for monthly rental payments.
  • Maintain and process the monthly rent payables batch in Virtual Premise.This includes balancing, reconciling and interfacing with PeopleSoft Accounts Payable.  Maintain control totals to confirm payment amounts generated by PeopleSoft Accounts Payable.
  • Administer all computations of and payments for percent in lieu of minimum rent payments within Virtual Premise. Add all new landlord-related vendors and complete vendor maintenance when necessary.
  • Prepare monthly accrual journals for all outstanding invoices and any prior period expenses in regards to new stores and relocations. 
  • Calculate the prior period financial impact of back dated leases.Calculate financial impact of stores relocated for days open in each space using prior and new lease agreements, confirming new monthly payments with landlords.
  • Working with landlord representatives, reconcile any increases that are back-dated for prior periods or any for any billed amounts that do not agree to lease terms.
  • Maintain accruals and payments for percentage rents using Virtual Premise. Obtain comp % to be used from SVP Finance at the beginning of each year and update each quarter-end.
  • Submit payments through Virtual Premise to be imported into People Soft for payment processing maintaining controls for both systems to ensure accuracy.

Job Requirements


  • 6-8 years lease administration experience.
  • Lease administration responsibilities include accounting related tasks (e,g, accruals, processing rent payments, variance analysis).
  • Prior retail lease administration and/or retail lease accounting experience is a plus.
  • To perform this job successfully, an individual should have knowledge of Database Applications, Microsoft Office software (particularly Excel and Word); Knowledge of leasing software is a plus.
  • Must possess excellent verbal and written communication skills.
  • Must possess strong problem solving and analytical skills.
  • Attention to detail.
  • Must be able to multitask and follow up on problems.
  • Excellent organizational skills.
  • Must be team oriented.
